Create an invoice

Bill a completed visit or build an invoice with service and custom line items.

The quickest way to invoice scheduled work is from the completed visit. You can also create an invoice manually for work that is not on the calendar.

From a completed visit

  1. Mark the visit complete.
  2. Open the visit and choose Actions.
  3. Tap Create Invoice. From the calendar, tap Generate Invoice.
  4. Review the visit, client, service date, and locked subtotal.
  5. Choose percentage or fixed tax if needed, and add an optional note.
  6. Tap Create Invoice.

The visit changes to Invoiced and the action becomes View Invoice. If the action is disabled, complete the visit first.

On the calendar, Generate Invoice only appears when payment is due for that recurring service. The visit's Actions tab still offers Create Invoice after completion.

From My Invoices

  1. Open My Invoices and tap + New.
  2. Search for a client. Selecting one fills their name, address, email, and phone. You can also tap Enter client details to type them manually.
  3. Choose the service date.
  4. Add up to five items. Each can be a saved service or a Custom Item.
  5. Set the quantity and unit price for every item.
  6. Add percentage tax, fixed tax, or No Tax.
  7. Add notes if needed, then tap Create.

The invoice appears as Unpaid.

What an invoice holds

Open an invoice for three tabs:

A client who has joined Olyve can open an invoice you sent them. They can read the summary, preview, and history. They do not get Mark as Paid. You record the payment on your side.

An invoice stays Unpaid until its remaining balance is recorded as paid. The current app's Mark as Paid flow records the full remaining balance in one payment. Once fully paid, the invoice and its visit change to Paid.
