Money

Record a payment

Mark an invoice paid or save money collected directly for a completed visit.

Olyve records money you have already received. It does not charge your customer's card or move money into your bank account.

For a complete history of recorded payments, open My Payments.

Ways to record one

Open the unpaid invoice—or use Mark as Paid from the invoice list or visit—then:

  1. Review the invoice total, amount already paid, and remaining balance.
  2. Choose the payment date.
  3. Select Cash, Check, Zelle, or Bank Transfer.
  4. Add an optional note, such as a check number.
  5. Tap Save Payment.

The payment amount is set to the full remaining balance and cannot currently be edited in the app.

For completed work that does not need an invoice, open the visit and tap Record Payment. On the calendar, this action may be called Mark as Paid. Review the visit total, choose the date and method, then tap Save Payment.

Olyve labels this as a Direct Payment.

You cannot record payment while a visit is still Scheduled. On a recurring schedule, direct payment actions appear only when payment is due. Creating an invoice from the visit's Actions tab is still available after completion.

Methods

Add a note if you need to remember a check number or who handed you the cash. It appears on the payment and in the visit timeline.

What changes after you save

The payment appears in My Payments, labeled From Invoice or Direct Payment. Once the balance is fully paid, the invoice and visit change to Paid. A visit status locks as soon as it is Invoiced, and remains locked after payment.

Open the payment for its number, amount, method, date, client, and the invoice or visit it belongs to.
