The work
Complete and bill a visit
Finish the work, add notes, create the invoice, and record payment.
Most jobs follow the same simple path: complete the visit, then create an invoice or record the money you collected.
Mark the work complete
From the calendar, tap Mark Complete on the visit. Or open the visit, choose Actions, tap Update Status, then choose Completed.
The Mark Visit as Complete sheet shows the service and date. Add a note if you want the client to have a record of what was done, then tap Mark Complete.
Complete the visit before billing it. Invoice and payment actions stay unavailable while the visit is Scheduled.
Create an invoice
- Open the completed visit.
- Choose Actions.
- Tap Create Invoice. On the calendar, the same action is called Generate Invoice.
- Review the client, service, date, and price.
- Confirm the invoice.
The button becomes View Invoice after the invoice is created, so the same visit cannot be billed twice through the app.
Record an invoice payment
If the invoice is still open, tap Mark as Paid. Confirm the amount, payment date, and method. Olyve applies the payment to that invoice and updates the remaining balance.
Record payment without an invoice
If you collected cash, a check, Zelle, or a bank transfer and do not need an invoice, tap Record Payment on the completed visit. Olyve saves it as a direct payment connected to the visit.
If billing actions do not appear on the calendar, check the schedule's Payment Frequency. Payment may not be due on this visit. The visit's Actions tab follows a slightly different rule: Record Payment still waits until payment is due, while Create Invoice is available after completion.
Fix a status or note
Update Status lets you choose Scheduled, Completed, or Cancelled. Choose Scheduled to reopen completed work that has not been invoiced. Once an invoice or payment exists, the status is locked.
Use Edit Notes whenever you need to correct or add visit notes.
Ask for a review
Request Review becomes available after the visit is completed, invoiced, or paid. It opens with the client already selected. See Ask for a review.
